Who is responsible for your information?

NxtGen Trophies Ltd is the data controller. Our company number is 17382055 and our registered office is 105 High Street, Brentwood, England, CM14 4RR. Privacy questions and rights requests can be sent to info@nxtgentrophies.co.uk.

What information do we use?

Depending on your enquiry, this may include your name, organisation, email address, telephone number, product codes, quantities, event or required date, delivery postcode, approximate budget and your personalisation, artwork or order requirements. Please do not send special-category or other unnecessary sensitive information.

Why do we use it?

We use the information to answer enquiries, recommend suitable products, prepare and discuss quotations, administer orders, protect the form from automated abuse and meet legal or accounting duties. Our lawful bases are taking steps at your request before entering a contract, performing a contract, our legitimate interests in operating a secure and responsive enquiry service, and compliance with legal obligations where applicable.

Website forms, email and service providers

When direct website submission is enabled, Cloudflare Turnstile checks for automated abuse and Resend delivers the enquiry to the NxtGen mailbox. The website does not keep an application-database copy of the enquiry, use it for marketing, accept attachments or log the enquiry contents. Resend processes email data and account records in the United States and uses published subprocessors. Cloudflare processes limited browser and security signals for Turnstile but does not receive the form entries. The Turnstile configuration will keep pre-clearance disabled.

The checkbox beside an active form confirms that you have seen this notice; it is not used as consent where another lawful basis applies. If direct submission is not active, the site prepares an email for you to review and choose whether to send using your own email service.

If you choose WhatsApp

A WhatsApp option will appear only after NxtGen has confirmed its business number. Choosing it means you are asking to communicate through a third-party service operated within the Meta group. WhatsApp will process information under its own terms and privacy policy, which may involve processing outside the UK. You can always use email or the website enquiry route instead.

How long do we keep enquiries?

General enquiries that do not become orders are retained for 12 months from the last meaningful contact and then deleted unless there is a specific reason to keep them. If an enquiry becomes an order, the relevant correspondence is retained as part of the customer, order and accounting record for the period required by the applicable legal and business record-keeping criteria.

Who can access the information?

Access to website enquiries is initially restricted to the three NxtGen directors and the service providers needed to deliver and secure the enquiry. Access must be removed promptly when someone no longer requires it. We do not sell enquiry information or use it for unrelated marketing.

Your rights

You may ask for access to your personal information and, where applicable, ask us to correct, erase, restrict or transfer it, or object to its use. Contact us first so we can help. You can also complain to the UK Information Commissioner's Office.
